Cancellation Policy

This Cancellation Policy sets out the terms that apply to cancellations, rescheduling and refunds for coaching services and retreats provided by Open Ground. It forms part of our Terms of Service.
1. Coaching sessions, rescheduling
Individual coaching sessions may be rescheduled once at no cost, provided we receive written notice at least 48 hours before the scheduled start time. Requests made with less than 48 hours’ notice, or a second reschedule of the same session, are treated as a missed appointment and the session is forfeited.
2. Missed appointments
Sessions that are not attended and for which no valid rescheduling notice has been given are forfeited and are not refundable.
3. Discovery Sessions
Discovery Sessions are non-refundable once purchased. They may be rescheduled once in accordance with section 1. If you purchase an eligible longer coaching programme within 14 days of your Discovery Session, the Discovery Session fee may be credited toward the programme fee at our discretion.
4. Transformation and Deep Transformation packages
Coaching packages are committed engagements. You may cancel within 14 days of purchase provided no coaching session has yet taken place, in which case the fee will be refunded in full. Once the first session has been delivered, or once the 14-day period has passed, the package fee is non-refundable. Remaining sessions must be scheduled and used within the programme window stated on the service page.
5. VIP Coaching
VIP Coaching has a minimum commitment of six months (minimum total €6,000). Monthly fees are billed automatically by Stripe and are non-refundable once the month has commenced. After the initial six-month period, VIP Coaching continues on a rolling monthly basis and may be cancelled by either party on 30 days’ written notice, effective at the end of the following billing cycle.
6. Group retreats, deposits and balances
A non-refundable deposit is required to secure a retreat place; the balance is due by the date specified in your booking confirmation. If the balance is not received by the due date, the place may be released and the deposit forfeited.
7. Retreat cancellations by you
Cancellations received more than 90 days before the retreat start date: deposit forfeited; any balance paid refunded. Between 60 and 90 days: 50% of the total retreat fee is non-refundable. Fewer than 60 days: the full retreat fee is non-refundable. We strongly recommend comprehensive travel insurance covering cancellation.
8. Retreat cancellations by Open Ground
If we cancel a retreat for any reason, you will receive a full refund of fees paid to Open Ground for that retreat, or, where offered and accepted by you, a credit toward a future retreat. We are not responsible for third-party costs such as flights, transfers, visas, insurance or other travel expenses.
9. Changes to dates, venues or facilitators
Occasionally, retreat dates, venues, itineraries or facilitators may change. Where a change is material, we will notify you promptly and, where reasonable, offer the option to transfer to an alternative date or receive a refund of fees paid to Open Ground for the affected retreat.
10. Travel, insurance and personal responsibility
Travel to and from any retreat, together with visas, insurance and personal expenses, is the responsibility of the guest. Travel insurance covering cancellation, curtailment, medical treatment and personal belongings is strongly recommended.
11. Medical, health and accessibility
You are responsible for ensuring the services and any retreat activities are appropriate for your physical and mental health. Please disclose any relevant medical or accessibility considerations in advance so we can respond appropriately. We reserve the right to decline or end participation where we reasonably consider it necessary for your safety or the safety of others.
12. Force majeure
We are not liable for failure or delay in performing our obligations where caused by events outside our reasonable control, including illness, government restrictions, travel disruption or natural events. In such cases, we will work with you in good faith to reschedule or, where appropriate, provide a refund or credit for fees paid to Open Ground.
13. How to cancel or reschedule
All cancellation and rescheduling requests must be sent in writing to the contact email published on our contact page. The date and time of receipt of your email will determine the applicable terms above.
14. Statutory rights
Nothing in this policy affects any non-excludable statutory rights you may have as a consumer under applicable law.
